Punched or punchless?Start from how documents are used

When choosing a filing product, look at how it will be used before comparing looks, colors, or spine width. The quickest way in is three questions: do the documents need punching? Will contents be added, swapped, or reordered often? Is this a small set carried around, or a full batch filed long term?

Two Paths

Start with two paths

There is no single “best” mechanism. Round-ring, D-ring, lever-arch, spring clips, lever clips, and clipboards are each built around a different action. Working out the action first is more reliable than picking from a catalog by looks.

Adding and reordering pages: loose-leaf ring systems

If documents keep growing, or need deleting, sectioning, and re-sorting, ring binders usually fit best. Documents are punched to match the mechanism, or slipped into compatible sheet protectors; loose-leaf paper and dividers follow the same hole pattern, and any single page can come out without unloading the stack. What really needs confirming is not just two, three, four, or multi-hole, but:

  • Whether every ring has a matching hole
  • Whether hole spacing and positions align
  • Whether document size and orientation match
  • Whether sheet protectors, dividers, and loose-leaf paper can be shared
  • Whether ring capacity matches the actual stack thickness

The same “A4” label does not guarantee compatible holes, and the same hole count does not guarantee the same spacing. See document size, hole pattern and capacity for the full method.

Direct clamping: punchless and two-hole options

For documents that cannot be punched — or for meeting papers, quotations, and forms that need to be loaded quickly — consider a lever clip or clipboard. These mechanisms grip the stack directly, load quickly, and leave no binding holes, but they are better suited to handling a complete set than to replacing individual pages within a bound file. A two-hole spring-clip mechanism is different: it holds two-hole punched documents. Confirm the hole spacing, mounting position, and usable filing thickness before specifying it.

Mechanism Types

How common mechanisms differ

These are common binding mechanisms offered for selection guidance — not a LAN CHYN supply list. Availability depends on the required specification, quantity, and project review.

Round-ring binder

Rings form a smooth arc so pages travel around them easily — everyday office filing, teaching materials, general archiving. Beyond the hole count, check ring diameter, hole spacing, mechanism length, and mounting position; filling the rings completely is not the most usable state.

D-ring binder

One side is nearly straight, so page edges stack neatly as contents grow. “A D-ring always holds more than a round ring” is not a rule — compare capacity within the same product or design conditions.

Lever-arch file

A lever mechanism with a pressure bar, suited to batch archiving and repeated opening. Before switching to a larger mechanism, check mechanism height, base, and cover dimensions — the original cover may not carry over.

Multi-hole systems

Smooth page travel and even support, but tied to a specific hole pattern. Treat mechanism, refills, and punching as one system; matching document size alone is no reason to mix refills whose compatibility is not stated.

Lever clips and clipboards

Both are punchless clamping types: a lever clip grips a whole stack — reports, contracts, project sets; a clipboard suits on-site writing, form filling, and temporary holding. Check clamping thickness, board size, and clip position.

Two-hole spring clip

A spring mechanism presses onto two-hole punched documents: pages are punched, then filed one by one, turning smoothly. Check hole spacing, mechanism position, and actual stack thickness.

Capacity here is written as usable filing thickness in millimetres, measured with the intended contents pressed naturally flat. Sheet counts change with paper weight and content type, so they are not used as a specification in this table.

Four Questions

Narrow it down with four questions

1. Will pages be reordered often?

If pages are added, removed, or re-sorted one by one, ring systems come first; if documents mostly move as a whole stack, clamping types are more direct.

2. Can the documents be punched?

Original contracts, certificates, or customer-supplied documents should not be punched — slip them into sheet protectors, or choose a punchless clamping type. With sheet protectors, compatibility follows the protector’s own holes, not the paper inside.

3. How thick is the real stack?

Avoid describing capacity as “about x sheets”. Copy paper, card stock, laminated documents, dividers, and pockets stack very differently. Stack the intended contents, press them naturally flat, measure the actual thickness, then leave room for turning and retrieval.

4. Any existing refills or consumables?

If a company, school, or channel already uses a fixed hole pattern, match the existing system first. Switching to a hole system whose compatibility is not stated usually means replacing the follow-on consumables too.

To match standard products or plan a custom project, gather:

  • Document size, portrait or landscape
  • Whether the documents can be punched
  • Existing hole count and spacing, or a physical sample
  • Contents — paper, pockets, dividers, catalogs
  • Actual stack thickness to be filed
  • How it is used and how often it opens
  • Cover material, color, and printing needs
  • A product reference — photos, a dimensioned drawing, or a sample of the current product
  • Estimated quantity, schedule, and packaging needs

For questions about metal fittings on their own, give the mechanism length, hole count, hole spacing, and mounting hole positions; for ring types, add the round-ring inner diameter, or the effective straight-edge length for D-ring and slant-D types; for clamping types, add the clamping thickness and describe the product they mount on. If an established specification already fits the size, holes, and capacity, staying with it makes reordering easiest and specification errors least likely; when standard specs fall short, special sizes, mechanism positions, hole patterns, or cover structures are evaluated against the actual construction, including whether sampling or other preparation is needed.

Frequently asked questions

Round ring or D-ring — which holds more?

Capacity depends on mechanism size, spine structure, document thickness, and turning space, judged against a specific product; shape alone cannot settle it.

Which types avoid punching the documents?

A lever clip or clipboard grips the paper directly; documents can also go into compatible sheet protectors first. A spring clip is for two-hole punched documents — it is not a punchless type.

Can I buy metal fittings only?

Selected metal fittings may be supplied separately, subject to specification, quantity and availability. Send the fitting type, key dimensions, hole count and spacing, mounting-hole positions, intended use and estimated quantity; we will confirm what can be supplied separately and on what terms.
